Job Summary
The Office Assistant supports financial, clerical, and administrative functions to ensure smooth branch operations. This role is essential for accurate, timely accounting of invoices, inventory management, and daily financial reporting. The Office Assistant will interact with customers, vendors, and team members to provide efficient service and maintain a welcoming environment.
Key Responsibilities
- Customer Service:
- Greet and assist customers, manage counter sales, and handle phone inquiries with professionalism.
- Process sales transactions of feed, general merchandise, propane, and AirGas products through AgTrax.
- Financial Administration:
- Complete and reconcile daily cash reports, ensuring compliance with company policies.
- Prepare daily deposits and manage accurate documentation for auditing purposes.
- Inventory Management:
- Organize and submit weekly route orders to maintain inventory from DC Feed Mill, the warehouse, or ACE.
- Conduct monthly inventory counts and update inventory records in AgTrax.
- Receive, document, and verify inventory shipments.
- Grain Operations Support:
- Operate truck scales, issue weight tickets, and conduct grain inspections.
- Assist customers with grain delivery processes as needed.
- Vendor Relations:
- File and maintain vendor invoices; handle inquiries regarding payments and accounts.
- General Administrative Support:
- Perform regular filing and documentation management.
- Assist with other administrative duties as assigned by the Branch Manager.

- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Familiarity with AgTrax or similar inventory/accounting software (preferred)

Qualifications
Minimum Requirements
- At least one year of experience in accounting, accounts payable, or a related field.
- Ability to work a Monday through Friday schedule, 8:00 AM - 5:00 PM, with rotating Saturdays (8:00 AM - 12:00 PM).
- Willingness to work mandatory overtime during harvest seasons (summer and fall).
Preferred Requirements
- Associate's degree in Accounting, Business, or a related field.
Physical Requirements
- Ability to sit at a desk and use a computer for extended periods.
- Capable of lifting up to 25 pounds.
