Title:                        Office Assistant

Department:             Agronomy

Reports To:              Agronomy Department Manager

Job Summary:

To provide financial, clerical and administrative support services to the Branch Location to ensure efficient, timely and accurate accounting of invoices, inventory and daily deposits.

Summary of essential job functions:

  • Customer Service-answer phones, greet customers and counter sales using AgTrax
  • Daily invoicing for agronomy products sold from Hanston and I-South
  • Complete daily cash reports and daily deposits per company policy
  • Sort and compile daily invoices received from the other agronomy locations as needed
  • Distribute credit applications as needed then contact Credit Manager for follow up
  • Assist with monthly inventory and receiving inventory into AgTrax as needed
  • Verify completed work orders in AgLogic
  • Billing for agronomy wholesale accounts
  • File bills of lading
  • Field customer and vendor inquiries on payment and billing issues
  • Enter and verify customer file for Restricted Use Pesticide licenses
  • Ensure that all Regulatory Licenses for seed, Turf, Agronomy and ACE hardware locations are up to date and supplied to each location in timely manner.
  • Generate the monthly Restricted Use Pesticide report and distribute to all agronomy locations
  • Maintain and reconcile Customer prepaid contracts, monthly and FYE
  • Assist with Customer Appreciation events
  • Filing as needed
  • Fill in as office backup at agronomy locations to cover illness and/or PTO only as needed to be determined by the Agronomy Operations Manager
  • Maintain regular consistent and professional attendance, punctuality, personal appearance and adherence to relevant policies and procedures.
  • Establish and maintain effective working relationships with co-workers, supervisors and customers.
  • All other duties as assigned by Agronomy Department Manager
  • Communicate between front office staff when leaving the office so that customers calls can be directed accordingly.

Minimum Requirements:

  • Working knowledge of Microsoft Office
  • Valid Kansas Driver’s License
  • Office experience

 Preferred Requirements:

  • Associates Degree in Accounting or Business
  • Agronomy Experience

Work Schedule:

  • Monday through Friday, 8 am – 5 pm and Saturday as needed, to be determined by Agronomy Department Manager

Physical Requirements:

  • Must be able to sit at desk/computer for extended periods of time
  • Must be able to lift 25 pounds
